On this forum, lots of good questions about passports, visas, and consular procedures stay half‑answered simply because one vital piece is missing: jurisdiction and timeline.

Different consulates, even within the same country, can apply slightly different practices, have different backlogs, or use different external service providers. That’s why two people with “the same” case can experience very different processing times.

When you open a thread on passports, visas, citizenship, civil registry, or border entry, it really helps if you clearly include:

1) Country context
  • Which country’s documents are involved? (e.g. “Italian citizenship via consulate in New York”, “Canadian visitor visa processed in Abu Dhabi”)
  • Are you dealing with one country, or multiple (e.g. dual nationals, third‑country residence)?

2) Your status
  • Citizenship(s)
  • Country of legal residence and type of residence status (if relevant)

3) Exact consulate/embassy or border
  • City and country of the consulate/embassy
  • Specific land border, airport, or seaport if you’re asking about entry procedures

4) Type of service
  • Is this about:
• Passport
• Visa
• Citizenship/naturalization
• Civil registry (marriage, birth, death registration, etc.)
• Border entry/exit control
• Legalisation/apostille or other document compliance

5) Timeline details
  • When you:
• Submitted the application
• Gave biometrics (if any)
• Had an interview or appeared in person
  • Any updates received (e.g. “status changed to ‘in process’ on X date”)
  • Any published processing times you’re comparing against

6) What you actually want to know
  • Are you asking:
• “Is this delay normal for this consulate?”
• “What are typical wait times for others with similar cases?”
• “At what point should I contact the consulate or service center?”
• “Can I travel while this is pending?” (noting that no one can give you legal advice)

Including these elements from the start makes it much more likely that others with similar experiences in that specific jurisdiction and time frame can give useful, concrete input, rather than generic guesses.

When you post about a passport, visa, or consular issue, which of these details do you usually include, and which ones do you think people most often overlook?
